State Convention is always a stressful time, but this sample letter could help alleviate some of your usual headaches! Don't recreate the wheel this year; instead, invest in this great sample letter to get yours started. This letter can easily be changed in Microsoft Word or a similar program in order to meet the needs of your chapter. The first page in a letter to the parents explaining how students qualified to attend convention, as well as general information about the event, including hotel information and expense estimates. The second page has a list of guidelines and expectations, which is a great resource for any event where students are traveling! This page also has the deadlines for turning in their permission slip and medical waiver. The third page has a release form/permission slip for students and parents to sign. Student and parent signatures on this indicates that the student can attend the event, and if any rules are broken, the parents are responsible for picking up their student. Fourth page is a packing list for the students, which is another great list that can be tailored for any travel event. Note: This is my 2017 packet that I sent home with students for the Oklahoma FFA State Convention. It is a two day event, and we stay in a hotel for one night.
